DOCUMENT INTELLIGENCE · QUESTIONNAIRE REVIEW

Respond to questionnaires with confidence.

Customers and auditors send long qualification questionnaires, and answering one means finding what your organization has already said, checking it against current policy, and writing it down again. Docusense reads the incoming document, separates every question and standalone requirement, and lays the work out item by item.

For each item it retrieves what your organization already holds, drafts a suggestion only where a source supports one, and shows the reviewer where that material came from. The reviewer decides what the answer says.

KNOWN ANSWERS · OPEN QUESTIONS

Most questions have been answered before.

A qualification questionnaire mixes questions, instructions, and standalone requirements in one document. The material that answers them is spread across earlier questionnaires, reusable answers your team maintains, organization and customer policies, and the reference documents in your library.

Docusense separates the reviewable items and brings the related sources alongside them. The reviewer decides whether a suggestion is suitable and can edit it before saving an answer. Nothing is sent anywhere on the strength of a model's output alone.

A DOCUMENT REVIEW · STEP BY STEP

The workflow in six steps.

Keep the source, suggested answers, policy findings, and saved decisions together throughout the review.

  1. 01

    Upload

Upload a supplier or customer questionnaire in PDF, DOCX, XLS/XLSX, or PPTX.

  2. 02

    Structure

Extract questions, standalone requirements, metadata, and a document summary.

  3. 03

    Find

Suggest reusable answers and matching answers from earlier questionnaires where they exist.

  4. 04

    Check

Compare each item with the organization and customer policies selected for the review.

  5. 05

    Review

Edit and save answers. Mark each requirement confirmed or not confirmed, or add a comment.

CONNECTED QUESTIONNAIRE REVIEW

Review questionnaires with the source material in view.

Docusense brings document processing, answer suggestions, policy checks, and PDF response creation into one questionnaire workspace.

01Understand

Review questions and requirements item by item.

Docusense extracts questions and standalone requirements, plus metadata and a summary, so reviewers can work item by item.

02Connect

See suggested answers next to the question.

For unanswered questions, Docusense can suggest reusable answers and similar answered questions from earlier questionnaires. Reviewers can inspect the source context before they use them.

03Act

Review each item and prepare the response.

Edit and save answers, record requirement decisions, inspect policy findings, and create a PDF response from the items you select.

UNDER THE INTERFACE

The processing, retrieval, and models underneath.

Three layers do the work between an uploaded file and a suggestion a reviewer can check. Each one is documented, because a claim about AI is only useful if you can see what it means.

Document processing

A configurable parser converts each uploaded file into markdown. The text is cleaned, split along the document structure, and every section keeps a heading breadcrumb and its position in the original file.

Retrieval

Docusense searches meaning and wording at the same time, then re-scores the shortlist with a model that reads the question and the candidate together. Answers are written only from what that search returned.

Language models

Extraction, drafting, embedding, and reranking each use a separately configured model. Which family of model does what, and what those models can and cannot do, is worth understanding before you rely on them.

KNOWLEDGE IN THE REVIEW

Reusable answers, cited search,
and policy checks.

Qualification questionnaires are the core workflow. Next to that, reusable answers, cited library search, and customer or organization policy checks provide the knowledge around each review.

01

QUESTIONNAIRE INTELLIGENCE

Review questionnaires item by item.

Separate questions from standalone requirements, see suggested answers where available, and keep the original document in view while you review.

03

REUSABLE ANSWERS

Save good answers and use them again.

Save the answers your team prefers and connect new review work with similar answered questions from earlier questionnaires.

04

POLICY-AWARE REVIEW

Check requirements against your policies.

Check review items against selected customer and organization policies, then put possible conflicts in front of a reviewer.

WHO USES IT

Two groups have to be satisfied.

A questionnaire tool is adopted by the department that answers questionnaires and approved by the people responsible for systems and data. Both have a page here.

REVIEW TEAMS

The people who answer the questionnaire

Sales, bid, quality, compliance, and technical specialists share one workspace. Customer assignments decide which questionnaires each person can open, and the knowledge a team saves is available to the next review.

IT AND SECURITY

The people who have to approve it

Docusense is a container stack with its own database, vector store, and file storage. You choose where it runs, which identity provider it trusts, and whether any AI processing leaves your network.

HUMAN REVIEW

AI prepares the work,
people decide what to save.

Reviewers can inspect the original document and suggestion sources, edit answers, comment on requirements, and save the review. Docusense records the latest reviewer and time for each reviewed item.

01

Tenant Isolation

Every tenant has separate application and data stacks. Customer assignments further limit questionnaire work inside that tenant.

02

Access Control

Role-based access and configurable sign-in give administrators control over who can access questionnaire work.

03

Managed Backups

Managed hosting includes a daily immutable full snapshot stored off-site in the same region. Frequency and retention are agreed during setup.

04

Two Deployment Options

Choose a managed service hosted in the Netherlands or keep Docusense and its AI models in your own environment.

What document formats can Docusense process?

By default, we accept PDF, DOCX, XLS, XLSX, and PPTX files. There is no hard maximum document size, but longer documents take longer to process. For practical reasons the managed service enforces a 20 MB limit per file; self-hosted deployments can set their own limit. Administrators can change which compatible types and processors are enabled.

Does AI make the final decision?

No. We use AI to extract items, find related knowledge, draft suggestions, and flag possible policy conflicts. A person decides what the answer finally says, with the sources in front of them.

How does Docusense avoid inventing an answer?

Suggestions are written only from sources that were retrieved for that specific question, and the model is instructed to leave a question unanswered rather than adapt a source that asks for something else. Library answers cite the stored excerpts they used, and a reviewer can open each one. We explain this in more detail on the retrieval page.

What does Docusense produce?

Docusense creates a PDF response from the questions and requirements a reviewer selects.

Can Docusense reuse our existing knowledge?

Yes. Teams maintain reusable answers, and Docusense finds similar work from earlier questionnaires. Cited library search opens the supporting document excerpts.

How does customer access work?

Customer assignments control which questionnaire work each user can open. Roles control the actions available to them.

How is Docusense deployed?

We can host Docusense in the Netherlands, or you can run the application and AI models in your own environment. The self-hosted core can operate without an internet connection.

How much does Docusense cost?

Pricing depends on the deployment and the size of your team. Request a demo and we’ll cover it.
